The Administrative Officer plays a crucial role in the efficient operation of the college’s administrative functions. This position involves overseeing various administrative tasks, managing personnel, coordinating facilities, and ensuring compliance with relevant policies and regulations. The Administrative Officer reports to the CEO or equivalent higher authority.
Responsibilities:
1. Personnel Management:
- Supervise administrative staff, including hiring, training, scheduling, and performance evaluation.
- Develop and implement administrative procedures and policies to enhance efficiency and productivity.
- Provide guidance and support to staff on administrative matters.
2. Facilities Management:
- Coordinate maintenance and repair of college facilities, including buildings, classrooms, and equipment.
- Oversee procurement of supplies and equipment necessary for administrative operations.
- Ensure compliance with health and safety regulations in all college facilities.
3. Financial Administration:
- Assist in budget preparation and monitoring, including tracking expenses and forecasting future needs.
- Review financial reports and statements to ensure accuracy and adherence to budgetary guidelines.
- Coordinate with finance department personnel on financial matters as needed.
4. Student Services:
- Collaborate with the Principal to support student needs and enhance the overall student experience.
- Assist in the planning and execution of student events, orientations, and other activities.
- Address student concerns and inquiries in a timely and professional manner.
5. Records Management:
- Maintain accurate and up-to-date records related to administrative activities, personnel, and facilities.
- Ensure compliance with record-keeping requirements and data protection regulations.
- Develop and implement record retention policies as needed.
6. Communication and Liaison:
- Serve as a liaison between college administration, faculty, staff, students, and external stakeholders.
- Communicate administrative policies, procedures, and updates effectively across the college community.
- Collaborate with other departments and external organizations as necessary to fulfill administrative objectives.
